How about the massive JW Marriot? The rooms for gaming at least were pretty sweet. It is a bit on the far side though.

That's actoually the one you pass by to get to the courtyard, which is practially just the other side of the same building, yea, depends on price. If the savings between the two aren't that different, I'd be open to the JW, it being a little bit closer and all.

When does hotel registration start?

Can we cancel hotel rooms after they've been registered? I ask because even if the plan is unsure, it would be still useful to reserve rooms so we have more options.

There's a good chance I may help run Games on Demand this year which would mean I will be in whatever hotel that staff is in. I don't know which hotel that is yet, still waiting on info. Also, when I know more, I may (stress may, details are being formulated and I'm not in charge) be able to bring some of you in as part time GMs which should have plenty of perks.

What's Games on Demand? It's a room (now in the main convention center and double the size of last year which is awesome) where GMs hang out with a few games they know how to run. When players arrive, whoever is moderating the room tells them, "we have 6 GMs able to run X, Y, and Z games... what would you like to play?" And then we get games together "on demand" rather than on a schedule. Often the games aren't a full 4 hours because people are so busy during Gen Con it's hard to dedicate that much time, especially during the day. So games tend to be 2 or 4 hours. Usually we try to have games available that are popular that year at Gen Con. So if a new game is debuting, we'll ask the designers to send us a PDF copy and a demo adventure. If this happens, I'd like to have a gaming weekend where we learn the new hotness.

But since all of this is up in the air, I think as many of us should get hotels as possible. If we try to get into the same 1-2 hotels, we can later call the hotels themselves to arrange to have the rooms next to each other. And hopefully if there is no early cancellation fee, we can cancel rooms if need be. But we should determine the cancellation policy first.

You will need a badge before registering for a Hotel.

But note that you can cancel your badge for system credit anytime before July 1st (in case you volunteer to GM and get your badge free): http://www.gencon.com/2012/indy/cs/atte ... efund.aspx

You can cancel a hotel room anytime before Monday, July 23, 2012 for $50. After that date it costs one night's room and tax.

So registering for a room and then cancelling it can be a little tough. Although you can transfer the room reservation to someone else for free (at least I've been able to do this in the past). And if you split the cancellation fee four ways that $13 each. Not too bad! Cancelling a badge is actually worse since in system credit of $70 is probably more than you would spend on any events at Gen Con.

Here's my suggestion for tomorrow:

- Seth and at5115, if you and 2 other people are down for Gen Con, call each other tonight.
- I suggest only 1 of you sign up for a badge (which you need to register for a hotel).
- And only 1 of you signup for a hotel.

Why?

This was you're covered. AND if I can get you all perks through Games on Demand (free badges and more), then only 1 of you has to refund a badge. The Games on Demand people won't likely have their details together for a little bit so I' going to need to wait for them as I'm co-organizing. But I have high hopes!

If you buy a badge but end up running games that would have gotten you a free badge, Gen Con by default refunds you in system credit. Which means you can use that $70 to buy events or possibly buy a badge next year (don't know how log credits last). My additional hope is that Gen Con would be reasonable and refund the badge for money if pressed.

But you only need 1 badge to get a hotel room that fits 4 people. No need to buy 4 badges at this point.
